Our hotel contracts are set so that either a credit card or debit card holds a reservation without any charge to the card. Once guests arrive on site and check in, they are requested to provide a card to guarantee payment. Credit cards are not charged until checkout. Debit cards debit the account upfront to secure payment. Cancellation may be done without any charges up to 48 hours prior to booked arrival date. This applies to anyone making guest reservations in the block of rooms held for SYMC.

The Hyatt Regency O'Hare offers a 24 hour complimentary Shuttle Service which runs every 15 minutes. Follow the red shuttle signs at the airport to the designated pickup area, O’Hare bus/Shuttle Center Door One. Shuttle buses are purple with white signage that reads Hyatt Regency O’Hare. For airport transportation from the international terminal, guests must call the hotel directly.

SYMC parking is $8.00/day in the Hyatt parking lot immediately behind the hotel.

While meals are not included in the registration fee, Chicago has TONS of food options both on site and within several blocks of the hotel. For more information about dining within the hotel, please click here. Offsite dining information will be provided at conference check-in. Please note: If you registered for a pre- or post-conference session, your lunch will be included in your fee.

There is no need to sign up for tracks, half-tracks, and workshops ahead of time. Simply go to the ones you’d like to attend when you get to SYMC! Please note: If you wish to attend the Friday pre-conference and/or the Monday post-conference retreat, you do need to register and pay an additional $59 per person, per session.

As part of Group Publishing, Inc., SYMC is interdenominational and we aim to serve our friends in ministry from all Christian denominations.

Childcare is not provided. If you’ll be bringing your little ones, we encourage you to look into bringing a friend or family member with you to look after your kiddos while you’re attending conference sessions. We do provide a Nursing Mothers Room and will designate its location on the conference map. We have looked into on-site child care with a licensed and insured child care company, but since it would cost about $150 per day per child, this is not an affordable option for our attendees and we will not be offering this service.

At this time, no scholarship programs are available. Many of our friends in ministry raise funds through their churches and communities to help cover the costs of airfare, hotel stay, and meals while at the conference.

Partial Payment Terms:
As a service to you, we allow partial payments to lock early registration rates, secure your spot, and pay as you go. A minimum of $50 per person, paid by credit card, is required to hold a spot. It's your responsibility to update payments in your account, which can be done anytime online or by calling Matty at 615-349-7111. Note: A minimum, nonrefundable deposit of $50 per person by credit card is required. Your remaining balance must be paid in full by 8/5/16. If everything isn’t paid in full by this date, we’ll charge the rest to your credit card then—plus add a $25 per person late fee. So don’t delay!

Cancellation of Registration
If your plans change after you register, you can substitute a guest at no additional charge by modifying your account information online or by calling Matty at 615-349-7111. In the case of cancellation, you must call 615-349-7111. You may cancel up to 60 days prior to the conference for a refund, less a $50 administrative fee per person. Cancellations within 60 days of the event (after 8/5/16) will receive a credit (push-forward registration) to attend the next Simply Youth Ministry Conference if the registration was paid in full. If only deposits have been paid, the registration will be cancelled, less a $50 administrative fee per person. No refunds or credits can be given for no-shows or cancellation within 14 days prior to the event. Please note that as part of our push-forward registration policy, if you are unable to attend the next Simply Youth Ministry Conference, you can substitute someone at any time. However if you are unable to find a substitution, the registration(s) are lost and no refunds are given.


Cancellation of the Conference/Local Weather Policy
In the event of an emergency or bad weather in the local area that leads to the closure of our conference facility, your safety is our first priority. If bad weather significant enough to cancel the conference is imminent, we'll update you by email and update the conference website with the event status. If the conference were to be cancelled in its entirety, we would automatically offer a full refund of the registration fee or the option of transferring your payment to the 2019 SYM Conference.


Non-Local Weather Policy
Within 24 hours before the start of the event if severe weather affects other parts of the country and inhibits travel due to full airport closure or official "state of emergency" travel restrictions, you must contact us by phone or email to give notice of severe weather-related cancellation. Upon confirmation of severe weather status before 5:00 pm on 10/7/16, we'll credit you for the next Simply Youth Ministry Conference. No refunds will be given in any case, and no credits will be given for no-shows without confirmation prior to 8/4/16.

It is best to fly into O'Hare International Airport (just 3.25 miles from the Hyatt Regency O'Hare Hotel)


Plus...you'll get a complimentary shuttle service offered by the Hyatt Regency O'Hare: Take advantage of our 24-hour complimentary shuttle service, which runs every 15 minutes. Follow the red Shuttle signs at the airport to the designated pickup area, O'Hare bus / Shuttle Center Door One. International travelers must use the courtesy phone inside the terminal. Shuttle buses are blue with white signage that reads Hyatt Regency O'Hare. For pick-up between 12:00 midnight and 6:00 a.m., guests must call the hotel directly at 1-847-696-1234. If you fly into Midway Airport, be sure to plan for your transportation to the hotel. There is not a complimentary shuttle available as Midway Airport is 26 miles away from the hotel.

Yes, we will be set up so that you may bill your church’s account for the resources you would like to purchase in the official SYMC bookstore.
